They seek an Office Manager who measures up to their high standards and has the ability to drive internal processes. Our ideal candidate is an energetic person who loves working in a fast paced environment and is extremely keen on patient care and providing our patients with a positive experience. Excellent communication and leadership skills are a must in their highly collaborative, fast paced, and demanding environment. This is a full-time position located in one of their Clinics around the country.

Main responsibilities are not limited to:

  • They are looking for a sharp candidate with an eye for:
  • Improving operational and marketing efficiency
  • Identifying operational improvements needed
  • Increasing sales with operational tools and data
  • Driving business goals with understanding marketing and operational drivers

Ideal candidate will have:

  • Experience with or knowledge of spa, cosmetics, beauty sectors!
  • Utmost comfort using Google drive and excel functions (to analyze data (sorts, filters, pivots, formulas are a most).
  • Overall responsibility for the maximal functioning of the practice is inclusive of all staff and the departments in which they work.
  • Oversee daily operations of the clinic – interface with building management and implement all needed physical clinic maintenance and changes.
  • Communications with outside vendors.
  • Oversee and implement marketing plans, compliance plans for OSHA and HIPAA.
  • Ability to create work processes and flow.
  • Ability to present results of data analysis.
  • Knowledge of the cosmetic surgery and or medical spa industry and business.
  • Ability to bridge marketing and operations functions.
  • Keen focus and attention to detail.
  • Ensuring compliance with all health care regulations, including JCAHO, HIPAA, and OSHA with the assistance of the DON.
  • Completing all required documentation accurately, in a timely manner, and thoroughly in
  • accordance with company standards.
  • Communicating effectively with a team including physicians, Nurses, Medical Assistants, Patient Coordinators, and other daily clinical and surgical schedule and can anticipate appropriately.
  • Ensuring the highest level of patient care and patient service is always provided.
  • Consistently following policies and procedures to ensure positive patient outcomes.
  • Increasing physicians' and or providers' overall patient retention.
  • Being tactful, mature, and able to get along with diverse personalities.
  • Managing clinical and operations monthly schedule.
  • Other Duties: Completing projects, performing other ad hoc duties and assuming various responsibilities as determined by the Director of Operations and/or Clinical Leadership Members.

Skills and qualifications :

Minimum Job Qualifications:

  • Must have a minimum of 3 years experience in a medical management position
  • Experience working in a plastic surgery office or med spa is a huge plus!
  • Familiarity with plastic surgical procedures and sales processes
  • Positive, energetic attitude is a must
  • Attention to detail
  • Passion for assisting patients before and after their surgical procedure.
  • Strong organizational skills
  • Ability to thrive in a fast-paced environment

Preferable Job Qualifications:

  • Education: Bachelor degree, prefer Masters
  • Background in Revenue Cycle Management, Surgical Practice Operations, Sales Management
  • Creative thinker with the ability to identify and solve problems
  • Ability to function well both independently and as part of a team
  • Ability to multitask under pressure and be highly responsive to patients & team members
